We recommend booking your accommodation at the same time as your online registration to secure availability and your preferred hotel.
If you prefer to book your accommodation after completing your conference registration, this may still be possible at the special conference rate, subject to room availability.

Scandic Copenhagen is centrally located by the city lakes (Søerne), within walking distance of Copenhagen city centre and with easy access to public transportation.

Hotel reservation terms and conditions
- Reservations of hotel rooms must be backed by a 1-night deposit payment served as first night stay.
- The deposit serves as a guarantee to the hotel for the first night and will be deducted from the participants’ hotel invoice upon check-in/check-out.
- The hotel deposit must be paid upon receipt of invoice.
ALL REMAINING NIGHTS ARE TO BE PAID AT THE HOTEL UPON ARRIVAL/DEPARTURE.

The prepayment can be paid to DIS Congress Service by credit card at the time of booking or by invoice (bank transfer).
If the hotel room is not paid for within 14 days, DIS reserves the right to cancel the reservation without further notice.
You will only be notified that your accommodation reservation has been canceled.
Please note that all bank transfer must be received latest the last bank day before arrival, or otherwise it must be paid by credit card.
- All invoices will be charged in Danish Kroner. Payment in any other currency will not be accepted.
Bank charges and currency exchange charges are at your own expense and should be factored in when making a bank transfer for the invoices. - The Invoice number must be used as reference when a transfer is made.
- For electronic invoices (EAN/GLN), a handling fee of DKK 60 will be added.
Once we receive the request, we will manually adjust the number of nights if you’ve chosen to pay for all nights via EAN/GLN. We will then ensure the invoice is forwarded for payment. - Any further changes made after the electronic invoice (EAN/GLN) has been processed will incur an additional fee of DKK 60.
- If the EAN invoice is rejected due to incorrect information, such as an invalid EAN
number or address, an additional fee of DKK 160 will be applied.
Hotel cancellation terms & conditions

For Scandic Kødbyen and Scandic Webers:
Until the 6th of August 100% free cancellation.
From the 7th of August until the 28th of August : The booked Accommodation will only be
reimbursed or cancelled free of charge if DIS Congress Service is able to allocate all the
cancelled room nights to another guest. The booking is from this state full valid.
From the 29th of August: non-refundable. No reimbursement will be made in case of cancelled
room nights or cancellation free of charge. If you cancel and have not paid, the invoice will still need to be settled.
For Scandic Copenhagen:
Until the 7th of July 100% free cancellation.
From the 8th of July until the 7th of August: The booked Accommodation will only be
reimbursed or cancelled free of charge if DIS Congress Service is able to allocate all the
cancelled room nights to another guest. The booking is from this state full valid.
From the 8th of August: non-refundable. No reimbursement will be made in case of cancelled
room nights or cancellation free of charge. If you cancel and have not paid, the invoice will still need to be settled.
No-show:
Prepayments are non-refundable, and any outstanding nights will be charged subsequently.
Cancellation of nights after check-in:
In case of shortening your stay after check-in, the hotel will charge the cancelled room nights.
Insurance:
We encourage all guests to arrange personal travel and health insurance.
The Organisers and other partners will not assume any responsibility for damage or injury to persons or property during the congress or make refunds in case of cancellations as per the Terms & Conditions.
